    Saved record views

    Turn a useful Records search into a repeatable private or company view. Views save the search, not a frozen list of accounts.

    Availability

    Saved views and internal custom fields are being enabled company by company. When your company has them, the Records tab shows a view picker with Columns, Manage, and Add filter controls above the account table. Everything else on the Records tab works the same either way.

    What a view saves

    A view stores a search definition: the filters from the filter panel, any internal-field filters, the columns you chose (up to 20, in order), and up to two sort keys. It does not store account IDs. Each time the view opens, it runs against your current records, so accounts move in and out as their data changes. Relative windows such as “within the last 30 days” are measured from the moment the view runs.

    The quick search box above the table is never saved, and neither is an SSN filter. SSN lookups stay temporary; if an SSN filter is active, the save dialog asks you to remove it first.

    Save and reopen a view

    1. On the Records tab, choose Live records or Test records. Each view belongs to one environment.
    2. Apply filters with the filter panel or Add filter, and choose columns and sort with Columns.
    3. Select Save view, give it a name, and choose who can open it.

    The page address now includes ?view=…. Refreshing the page, signing in again, or opening the address in another browser opens the same view. To make a view open automatically, choose Manage → Make my default. Add to favorites pins it to the top of the picker. Favorites and defaults are personal and never change the view for anyone else.

    Private and company views

    New views are private: only you can see them, and company administrators cannot open them. Company administrators can save a view for everyone in the company, share one of their private views (Manage → Share with company), or stop sharing it.

    Sharing a view never grants access to accounts. A teammate who opens a shared link sees only the records their own access allows. Someone outside your company who opens the link sees a notice that the view is unavailable. Company views remain after their creator leaves the company; a departing member’s private views become inaccessible.

    Changing a view safely

    When you change the filters, columns, or sort, the view shows Modified. You can:

    • Save changes — if you own the private view, or you are an administrator editing a company view.
    • Save as new view — keeps your version as a separate view (members use this for company views).
    • Discard — returns to the saved definition.

    If you switch views with unsaved changes, you are asked to save, discard, or cancel; nothing is overwritten silently. If someone else saved the view after you opened it, saving shows This view changed: reload the latest version or save your version as a new view.

    If a filter refers to an internal field or option that an administrator has since archived, the view reports that the filter needs repair instead of quietly dropping it and showing more accounts than intended. A column for an archived field stays in place and is labeled “unavailable”.

    Selecting and exporting accounts

    Switching views clears the page number and any selected accounts. Select All Records selects every account the current view matches at that moment; changing the view or filters clears that selection.

    Export CSV in the page header exports the current view (including the quick search, in the current environment). With accounts selected, Export selected exports exactly those accounts; it is disabled when nothing is selected. Choose Advanced Options and Include internal custom fields to add columns labeled “Internal:”. The export fixes the search and time when it starts; it is not a historical snapshot of the database. Very large exports stop with a clear message instead of truncating.

    Starter views

    Administrators can create ready-made company views from Manage → Starter views:

    • Accounts awaiting correction — accounts whose validation status is error. They leave the view after the normal correction and revalidation flow.
    • Branch exceptions — accounts in a branch/property option you choose that also have validation errors.
    • My assigned accounts — accounts whose Owner is the person viewing (requires the Owner field).
    • New delinquencies — observed changes (US reporting only) — currently delinquent accounts (status 71, 78, 80, 82, 83, or 84) with a recorded change from current (11) during the window. It relies on the account change history, so it is not a complete census of every delinquency, and a correction can also appear as a change. When nothing qualifies, the view is empty for that period.

    A saved view never generates or transmits a file. Reporting still goes through the normal validation and file generation steps.
